Burden-sensitive data collection and high buy-in data communication: Two strategies for understanding and telling stories

This paper will discuss challenges experienced and strategies used to reduce participant burden and increase the use of data for systems improvement within the context of a mixed methods evaluation of the implementation of trauma screening in a large pediatric clinic. Evaluation of Project LAUNCH Upper Valley included electronic health record data review, brief surveys to patients and staff, interviews and focus groups, and monthly team data reviews for quality improvement.

One challenge with collaborative evaluation work is the burden on participants and implementors. Both medical providers and caregivers in this community, especially those who have experienced trauma, may be less inclined to share feedback. Need for collaborative input should be balanced with respect for caregivers’ lives outside of pediatric visits and for providers’ high-volume workloads. We will discuss strategies for low-burden participation such as diversifying data collection techniques and cognitive surveys.

Once collected, these stories should be used as a primary driver of quality improvement. To that end, we will discuss strategies for engendering data buy-in, including data visualizations that are developed alongside evaluation questions and within the context of personal experiences shared by families. We will also discuss how evaluators can best utilize the pre-implementation period by gathering input on data collection tools and mock-ups of data dashboards before the initiative launches. Project teams can become familiar with visualizations and how these stories will be told ahead of time, so once the project begins, they can focus attention on how to use those stories to better serve families.
